Privacy Policy

1. Who We Are
Logistics (the "Service") is operated by Ailacs. We provide workforce scheduling, time tracking, and logistics management tools for Australian businesses.
2. Data We Collect
We collect only the data necessary to provide the Service:
- Account information — name, email address, and role, provided when you register or accept an invitation.
- Organisation data — organisation name, site and job details, and truck assignments entered by your organisation administrator.
- Clock records — timestamps for when you clock in and out of a job shift, including the site name and assigned truck.
- Location data — see Section 3 below.
- Push notification tokens — device tokens used to deliver in-app alerts. These are tied to your account and discarded if they become invalid.
- Billing data — payment processing is handled entirely by Stripe. We store only Stripe subscription identifiers; we never see or store full card details.
3. Location Data and Geofencing
Location data collection depends on your organisation's subscription plan:
- Enterprise and Custom plans — your organisation may enable live location tracking and geofenced site arrival alerts. When these features are active, the Service collects your GPS coordinates while you are clocked in to a job shift. Location data is used solely to display your position on your organisation's live tracking map and to trigger arrival notifications when you enter a designated site boundary. Your last known position is stored until you clock out or it is replaced by a newer reading.
- Free and Growth plans — no location data is collected or stored beyond the optional latitude and longitude you provide when clocking in to verify you are within a geofenced site (if your organisation has configured this requirement). That coordinate is stored only as part of the clock entry record.
Location access requires explicit browser permission. You may deny permission at any time; doing so may prevent clock-in if your organisation requires geofence verification.
4. How We Use Your Data
We use the data we collect to:
- Authenticate you and keep your session secure.
- Display your scheduled jobs, truck assignments, and shift history.
- Allow your organisation administrator to view worked hours and generate reports.
- Send push notifications for job assignments, announcements, and site arrival events (when enabled).
- Process subscription payments through Stripe.
- Maintain service security and diagnose technical issues.
We do not sell your personal data to third parties. We do not use your data for advertising purposes.
5. Data Storage and Retention
All data is stored in MongoDB Atlas hosted within Australian or equivalent cloud regions. Data is retained for the duration of your organisation's active subscription. Upon account or organisation deletion, personal data is removed within 30 days except where retention is required by law.
6. Your Rights
Under Australian Privacy Act 1988 and applicable data protection law, you have the right to:
- Request a copy of the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data, subject to legal retention obligations.
- Withdraw consent for location tracking by disabling browser location permissions.

7. Third-Party Services
The Service integrates with the following third parties:
- Stripe — payment processing. See stripe.com/privacy.
- OpenStreetMap / Leaflet — map tiles for the live tracking view. Tile requests are made from your browser; no personal data is sent to OpenStreetMap.
- Google Maps Platform — address autocomplete when creating or editing sites. Requests are made from your browser in accordance with Google's privacy policy.
8. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via an in-app announcement. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
